Within MyTranssmart we have the ability to upload an excel sheet so you can easily upload shipments.
After the upload you can:
1. Save the shipments as concept
2. Book
3. Book & Print
Please note:
When using Windows Cloud service this causes problems when importing files in MyTranssmart. Please use Windows desktop service for importing files.
Where can I find the template and upload shipment button?
On the overview and two buttons are important. In the below screenshot you see which ones:
- Download a shipment to download the template with all the fields you can upload
- The import shipment button. After clicking this button a pop-up will be shown where you can choose your file and select the import options.
Do I need to fill in all those fields?
No this is absolutely not necessary but why is it so extensive? We want to give you maximum flexibility in uploading shipments and their data. So download an example file, you can select an already created shipment for reference, and tweak it to a template you want to use.
Can I delete columns or tabs?
Yes you can. If a column or tab is not available in the import the fields will not be filled or will be filled with the standard values. We have 3 standard values. These are:
- Dispatch location
- Booking Profile
- Package
So when you don't fill a package or the tab is not present, we will fill the package with the standard value that has been set in the Manage account section.
Where can you find these settings? In the dasboard under Manage account, My Details.
Mandatory fields and tabs
When you want to import a shipment as concept the general tab and a reference are mandatory. When you want to book a shipment with the import it depends on the carrier and service level which fields are mandatory.
What happens when a value is incorrect or column header is not correctly written?
The value or column will be skipped; no error will be raised.
I forgot a value and I want to upload again. Do I need to delete?
No, you can upload it again. As long as the shipment reference is the same, it will adjust the shipment with the new values and desired action.
How do I know which value is needed?
When you are not sure which value you need you can check a shipment that's already booked or you can check the create shipment page. The values like country should be written like you will see in the drop down, so NL for Netherlands.
My numerical value is uploaded with a .0 behind it, how do I fix this?
When numerical values are uploaded with an additional .0 behind them (zipcodes for instance), download a new template import shipments excel from the portal, adjust the Cell Properties in Excel so that they are Text and/or use an ' in front of the numerical value.
When uploading my import file to the portal, I get an error containing '413 OK'
This error appears if your import file is too big. If you make you file smaller in size by either inputting less shipments rows, or by filling less tabs with data and then try re-uploading the process should succeed.
