Data in nShift Portal can be deleted by users with "Owner" status or users who have been assigned the Storage Management rights. Deleted data is permanently removed and will not appear in reports or statistics.
Read our guide on data anonymization here if you prefer to anonymize data rather than delete it. Anonymized data remains available for reports and statistics.
There are two ways to delete data:
How to delete data in nShift Portal
- Log in to nShift Portal and go to Settings > Company Management > Storage management.
- Scroll down the page and click on the tab titled Delete your data.
- Select the correct installation from the drop-down list.
- Click the name of the actor or member account that you wish to delete data from (do not check the checkbox next to it - this is used for issuing Power of Attorney, but it will automatically be checked once the year has been selected). If you only check the years, it will select the entire installation.
- Select the years you would like to delete data from and click Delete selected.
In the example below, only data from 2024 on the "Test Actor" will be deleted.
- Next, you will receive an email with a confirmation link. Read the email carefully and click the link to proceed with deleting the data. The confirmation link is valid for 24 hours, and the deletion process will start as soon as you click the link.
- When you click the confirmation link, you will be taken to the nShift Portal, where you can check that the status of your data has been updated. If you have already received an invoice for the data storage of the data you just deleted, follow the instructions in the email on how to request a credit.
Issue Power of Attorney for automatic data deletion
If you want to set up automatic continuous deletion, you can issue a Power of Attorney to allow nShift to delete data older than a certain number of days.
- Go to nShift Portal > Settings > Company Management > Storage management.
- Scroll down the page and click on the tab titled Delete your data.
- Check the boxes next to the Actors or Member Accounts that you want to issue Power of Attorney for.
- Enter the number of days your data must be for the automatic deletion to take place, and click Issue Power of Attorney. If you check Paid Storage, any data that you are paying to keep will be deleted.
- An email will now be sent to you with a confirmation link. Click the link to go through with issuing the power of attorney. The link is valid for 24 hours. (You can withdraw the power of attorney at any time.)
- You will be sent to nShift Portal, and a confirmation message will be shown. Your automatic deletion is now active.
- If you want to withdraw the power of attorney, go to the Storage Management page and check the box next to the Installation, Actor, or Member account that has automatic deletion.
- Click Withdraw Power of Attorney.
